Problem Resolution PDF Print E-mail

Purpose and Intent:

The DSC strives to create a positive, professional environment for the youth (our children) to learn, succeed and play soccer. Such an experience can only be achieved through the collaborative effort of the entire DSC. The DSC is inclusive of all coaches, trainers, managers, staff, DSC Board, all players, and all parents.

If you’re reading this, you more than likely have a problem that needs to be resolved. We have set up a protocol for this unfortunate situation and if you follow the procedure below we can address this ASAP!

Procedure:

  • The club encourages individuals to make every effort to resolve concerns or issues at the Coach level. The Coach is the first level of the club, please address all issues at the coach level to find an acceptable resolution.  Do not involve the paid trainers!
    • Parents, coaches, and players are asked to review club guidelines together in order to resolve issues.
    • Parents, coaches, and players are also asked to openly discuss their issues or concerns with each other in a civil and productive manner.
    • The coach is expected to offer his or her decision to a player and/or parent after having discussed the issue and after having given fair thought and consideration to that issue.
  • If an issue or concern cannot be resolved at the coach level, the party having the concern or issue is asked to elevate that concern or issue to the Director of Coaching for the DSC.
  • Upon notification of the issue or concern, the Director of Coaching will investigate the issue or concern with the involved parties.
    • The Director will act as a mediator and arbitrator on behalf of the DSC.
    • The Director will help the involved parties come to a conclusion whenever possible and/or render a decision on behalf of the DSC when parties cannot reconcile on their own.
    • The Director will not make hasty decisions with regard to any issue or concern. The Director is expected to communicate with all of the affected parties, take all available information into consideration, and then render a fair and impartial decision on behalf of the DSC.
    • The Director will always err in the best interest of a player’s development and in the best interest of the DSC program as a whole.

In the special event that an issue or concern cannot be resolved informally at the coach-player-parent level or at the Director of Coaching level the following grievance procedure may be used. Additionally, any individual affiliated with the DSC can report a concern or issue to the club so that the issue can be addressed before it becomes more serious. For these purposes, the DSC Board has a standing grievance procedure and a standing problem resolution committee. The following steps are to be followed when seeking the council of the DSC Board Problem Resolution Committee:

  1. The party raising a complaint should inform the party of concern with a written statement listing detailed information pertaining to the grievance. All parties must know up front, what the charges are.
  2. A copy of the grievance statement must be sent to the DSC Board Problem Resolution Committee for review. The formal grievance can be sent to the care of the DSC President and DSC Vice-President via the DSC post office box or mailing address. The document should contain (at minimum) the following information:
         Name
         Phone number
         E-mail address
         Date of the filing
A summary of the concern/issue for which the grievance is being filed
Steps that have already been taken to address the issue or concern
  3. Reasonable time must be allowed for the DSC Board Problem Resolution Committee to study and investigate the grievance and determine a resolution based on club by-laws, guidelines and common sense, satisfying to all parties involved to the best of the problem resolution committee’s ability. The decision of the DSC board problem resolution committee will be considered final.
