Team Manager Responsibilities

• Act as coordinator for tryouts and get 3 parent volunteers from your team to help.  We have implemented a new tryout protocol that will make your job and the player’s parent’s job much easier.
• After tryouts the player will be called by the coach or DSC representative and told if they have made the team. 
• DSC will set up a pre-season meeting at a determined location after tryouts for managers to get all paperwork and payments completed.

Instructions For Setting Up Your Team:

Get a 3 ring binder for your respective team and do the following:

• Pre Season Meeting
  • Organize a pre season meeting convenient for all players and parent/guardian (1 parent/guardian must attend and the player must attend) to fill out League Registration Form. Both parent/guardian and player must  sign the League Registration form for the WSSL turn in
  • Have parent/guardian fill out Uniform Order Form and let the player choose a Jersey Number.  Make sure there are no duplicate numbers.  And order any other desired items.  Have parent confirm sizes are correct. 
  • Collect Training Fees, Uniform Fees and Ref Fees for the season.
  • If you are going to have snacks and beverages after games have parents signup for this as well, at the meeting.  It's easiest to get everything done that you can at this meeting.
  • Collect any Tournament Fees (if applicable), that are known of at the time of this meeting.
  • Have the parent/guardian fill out the Team Information Form. (Make sure it is Legible)
• Type the team roster for the season (7) copies
  • Give (1) to coach (1) to trainer
  • Set (5) copies aside for WSSL turn in
• Pass Cards: Type up Pass Cards Completely.  Take pictures of player, coach, trainer, yourself and glue them in their respective places.
  • Set aside for WSSL turn in.
• Birth Certificates:  Make (2) copies
  • (1) goes in binder
  • (1) set aside for WSSL turn in
• Medical Release Form:  Make sure the Medical Release Form has been notarized (with raised seal) you need these for tournaments. (DSC will have Notary present at tryouts)
  • Place in binder
• League Registration Form:  It is a triplicate form for WSSL that the parent/guardian and player must fill out and both sign for turn in.

WSSL Instructions (For Information Set Aside):

• League Registration Form, Pass Card, and Birth Certificate must all be paper clipped together for the respective payer in order per your roster (Alphabetical)
• (5) copies of roster
• Turn into Administrator:
  • Administrator will send to WSSL
  • Once WSSL signs off and stamps forms; Administrator will give them back to you. Then proceed to instructions below.

Binder:  Information needed at each game (Binder must be present)

• Team information form – laminated
• Roster – laminated
• Pass Cards - laminated
• Birth Certificates
• Medical Release Forms
• Game Schedules / Maps
•  Ref lists with their phone numbers
  *** Note:  Keep Binder At All Times. It’s Your Responsibility. Also laminating the forms described above is necessary based on the amount they are handled***
• Managers collect all associated fees for their respected teams, i.e.: Training Fees, Uniform Fees, Ref Fees, Tournament Fees, etc.  This will make your job easier as well as the clubs.
  ***Note:  The vast majority of these fees should be collected at your pre-season meeting. ***
• Manager takes team binder for coach to every game for refs.
  ***Note:  Make sure you collect binder at end of game. Important.***
• Manager brings the referee payment (payments) to each home game (cash) in individual envelopes and gives it to the Head Ref with a bottle(s) of water for each; before the game starts (Home Games Only). Verify your fees per home game (depending Team).
• If the team votes to do snacks or drinks after each game; then the manager makes out a rotation list for all players (families) to participate.
  ***Note:  Have the vote at the pre-season Meeting and make rotation list. ***
• Orders uniforms for team and collects payments; then disperses uniforms on their arrival.
  ***Do Uniform Order at pre-season meeting and collect money (double check sizes).***
• Acts as liaison for your respective team, forward any e-mail communications from Coach, Trainer, DSC Board or Administrator to team as requested. i.e.: Information, Payments, Tournaments, Games, Maps, Practices, and Cancellations due to inclement weather.
• Books hotels for away tournaments at group rates (blocks out rooms) and communicates information to the team, so they can book their rooms and pay themselves by the due dates.
• Enter team information in the Team Section on the web site.  You will be given a password and can enter team pictures, tournament pictures, practice pictures, pictures of trainer interacting with players, winning pictures, etc…, game schedules, practice schedules, maps, tournament information, along with cool pictures from each to make your team section look great.

Tryouts

The following items are mandatory items that must be turned in prior to tryouts by parents or guardians of players. Managers please insure that all forms are legible. We must be able to read their e-mail address, home address, phone numbers, and birth date of player.

• If pre-registered online through Bluesombrero no additional paperwork will be required at Tryouts.  Players can just show up, check-in, get their number and head to the field
• If a player has not pre-registered they will need to:
  • Complete the Tryout Registration Form
  • Complete the Liability Release Form

Entering Scores

The winning team or the home team in the case of a tie, must log on to the WSSL site and enter their scores. To do so you need the following information:

1. Log on to http://ssl.hammersoccer.com/wssl/CoachLogin.asp
2. Select your division
3. Select your team's name

Rescheduling Games

The referee and field schedulers expend an enormous amount of time and effort each season to make sure that all of the DSC games have qualified referees and fields on which to play after each league distributes schedules. Coaches and teams have until the day before a season begins to reconfirm these dates with their families, check school and extra curricular calendars for conflicts.

If a conflict is discovered before the season begins, the game may be moved to a mutually agreed upon date and field at no charge. Once the season begins a $50 change/ cancel fee will be incurred by the team requesting the change.

NOTE: Individual league restrictions must be followed and all league fees would be in addition to the DSC fee

Games that must be rescheduled due to weather conflicts will not incur change fees. Referees shall be the sole judge(s) of the game, including but not limited to, weather conditions. In the event of rain or cold weather both teams must report to the field. The referee shall determine if the game may be played at the scheduled time.

NOTE: Coaches and managers should keep this in mind when attending scheduling meetings and be aware of any holidays, verify school events or other conflicts with players and their families.

Zero Tolerance Policy

The Dexter Soccer Club has declared itself a "Zero Tolerance Community" which means that the club has zero tolerance towards anyone that does not respect the referees. In accordance with FIFA bylaw 5 - the powers and duties of the referee include: "taking action against team officials who fail to conduct themselves in a responsible manor may at his/her discretion, expel them from the field of play and its immediate surroundings."

We have also agreed to support referees in extending this to any parents, family, friends and/or fans who deems necessary to maintain the true spirit of the game.
